Score the same five things every time

Delivery, quality, price, responsiveness and compliance covers almost every supplier relationship. The point is not the five criteria, it is that they do not change between vendors or between years, because a score you can compare is worth more than a score that is precise.

Weight them for your business, not for the supplier

A print supplier and an IT supplier are not weighted the same. On the worked example delivery and quality carry 30 points each, price 20, responsiveness and compliance 10 each, and the result is 74 out of 100.

Keep the scores so they become a trend

One score is an opinion with arithmetic on it. Three years of scores on the same weights is evidence, and it is what turns a renewal conversation from a debate about anecdotes into a comparison.

What is the difference between VRM and vendor management?

Vendor management is mostly about control: is the file complete, is the contract current, has diligence been done. VRM is mostly about performance: is this working. In practice a small business needs one record that answers both.

What criteria should a vendor scorecard use?

Five is usually right: delivery, quality, price, responsiveness and compliance. More than that and nobody fills it in; fewer and it stops discriminating between suppliers.

Should we share the scorecard with the supplier?

With the ones you want to keep, yes. A supplier told it scored 6 on price and 9 on responsiveness can act on it; a supplier dropped without warning cannot, and neither can its replacement.
