A vendor portal is the part of the record the supplier can reach. It exists for one reason: the information that goes stale fastest, insurance certificates, contact names and bank details, is information the supplier holds and you do not. Every year without a portal is a round of chasing emails, a spreadsheet of who has replied, and a handful of certificates that expire quietly because nobody got to them. A portal turns that from your work into theirs, and turns a record that decays into one that maintains itself.

Let the supplier own what only it knows
Its own certificate, its own contact names, its own remittance details. These are the fields that go out of date, and the person who can keep them current is not you. On the worked example an insurance certificate is 240 days from expiry, which is a reminder waiting to happen rather than a surprise.
Keep the verification on your side
A portal that lets a supplier change bank details unchecked has automated the fraud rather than the chasing. The upload is theirs; the confirmation call is still yours, and the record should show who made it and when.
Make it optional, not mandatory
Some suppliers will use a portal and some will send a PDF forever. A record that only works when every supplier logs in is a record that will never be complete, so both routes have to land in the same place.

What is a vendor portal?
A page where your suppliers see and update the parts of their own record you let them: contact details, insurance certificates, remittance information, sometimes documents you have asked them for. It exists to stop you chasing.
Will small suppliers actually use it?
Some will and some will not, which is why it has to be one route in rather than the only route. The value shows up on the twenty suppliers who do use it, not on the five who never will.
Should suppliers be able to change bank details in the portal?
They can request it; you confirm it out of band before anything is paid. Bank detail change is the single most attacked field in small business payments and no portal should be allowed to close that loop by itself.
