Vendor management software, for a small business, has a narrow job and a lot of products claiming it. What it actually has to do is hold each supplier with an owner and a status, keep the documents against them with expiry dates that surface before they lapse, keep the contract with its renewal and notice dates, record what diligence was done and by whom, and let you score performance so a renewal is a decision rather than a default. Everything else on a vendor management feature list is either a procurement function you may not have, or an enterprise integration you almost certainly do not need.

Check what it does with dates

Expiry and notice dates are the entire reason this category exists for a small business. Ask what happens 60 days before a contract renews and who gets told, because a system that stores the date without acting on it has moved your spreadsheet, not replaced it.

Check whether the supplier can update itself

Chasing certificates by email once a year is the work. A portal where the supplier uploads its own renewed certificate against its own record removes it, and whether the product has one is the difference between a record that stays current and one that decays.

Check what leaving costs

Ask how you export vendors, documents, contracts and scorecards, on which plan, and what happens after you cancel. If the export is a paid tier or a support ticket, the price on the pricing page is not the price of the product.

What does vendor management software have to do at minimum?

Hold vendors with an owner and status, documents with expiry dates, contracts with renewal and notice dates, a diligence record, and scorecards over time, and export the lot. Anything beyond that is a different product bundled in.

Is this the same as supplier relationship management?

Broadly yes for a small business; SRM is the same record with more emphasis on performance and joint planning. The vocabulary differs by industry more than the product does.
