Every vendor with an owner, a category and a status

A supplier is on the list or it is not, someone owns the relationship or nobody does, and it is approved, in review or offboarded. Three fields nobody keeps, and between them they answer most of the questions a spreadsheet cannot.

Documents and contracts that tell you before they lapse, not after

An insurance certificate has an expiry date and a contract has a notice date. Both are on the record and both warn the person who owns the relationship, which is the difference between renewing on purpose and renewing by accident.

The diligence you did, kept where you can find it again

Checks completed, by whom, when, and what they found, against the vendor rather than in somebody's sent items. When an insurer, a customer or an auditor asks, the answer is a page rather than an afternoon.
