Vendor contract management is the discipline of knowing, at any moment, what you have committed to and for how long. For a small business it rarely fails at the negotiation and almost always fails at the calendar. The contract was read carefully once, signed, filed, and then the only thing that happened for three years was that it renewed. The failure is invisible until the year you wanted to change supplier and discovered the notice window closed a fortnight ago, or the year the price rose by an indexed amount nobody had modelled.

Build the renewal calendar first

One row per contract: supplier, renewal date, notice days, owner. That table is worth more than any amount of contract metadata, and it is usually an afternoon's work for a business with a hundred suppliers.

Alert on notice minus a review period

Notice is the deadline; the alert has to come earlier than the deadline. A month before the notice window opens gives time to score the supplier, get a competing quote, and make a decision rather than let one happen.

Attach the evidence to the decision

Whatever you decide, record why against the vendor: the score, the alternative you looked at, the price movement. Next year the same question arrives and the person answering it may not be you.

What should a renewal calendar contain?

Supplier, contract start, renewal date, notice period in days, the owner, and the alert date, which is the renewal date minus notice minus your review time. The last column is the one that does the work.

How far ahead should the alert fire?

Notice period plus enough time to review and to get an alternative quote. For a 60-day notice, ninety days before renewal is a reasonable default, and more for anything single-sourced.

What if we cannot find the contract at all?

Then the supplier is operating on whatever its terms and conditions say, which is worth knowing. Ask for a countersigned copy; a supplier that cannot produce one is telling you something about how it keeps records generally.
